How do I use Course Enrollments 2.0?

More custom selections than ever through Course Enrollments 2.0!

To use Create Enrollment 2.0, use the menu to navigate to School > Create Enrollment 2.0.

Who to Enroll

The "Who to Enroll" tab allows you to choose between creating enrollments either by group(s) or by target(s). It also enables you to set filters to more precisely choose who you would like to enroll based on Target Fields.

Enroll by group/target

Below the "Enroll by" box you'll see either the group selection box or the target selection box, depending on which option you selected.

If enrolling by group, any group placed in the right-hand box will have its targets enrolled. You can move groups to either box by clicking their name. Click the double arrows above the groups list to enroll all currently listed groups. You can search for specific groups by using the search box above the double arrows. 

If enrolling by targets, use the search box to search for specific targets by name or email. Click the target's names to add them to the enrollment list. 

The "Targets to Enroll" counter will display the number of targets currently on the enrollment list. Clicking the "CSV" icon next to the counter will download a CSV of each target currently on the list. 

Enroll Filters

Create Enrollments 2.0 offers several filters that allow you to narrow down enrollments without individually selecting each target. 

Click the first dropdown to select a field to filter by. This includes target information (name, company, etc.) or other options such as sub-group or last tested. 

Click the second box to choose a condition that will apply to the selected field in the first box. The available operators are: 

!= Does not equal
Equals
contains contains (string/character matching)
> Greater Than
< Less Than
>= Greater Than or Equal To
<= Less Than or Equal To

"Filter by" lets you choose whether you want to filter by "all" or "any" of the conditions selected above. 

Above: Filter settings that enroll all targets who do not live in Kentucky, work in the sales department, and whose first name contains a K.

Courses / Programs

The Courses / Programs tab is where you will choose which content the selected targets will be enrolled in.

Click the dropdown box labeled "Courses and Programs" to show a list of available content. Scroll or type in the box to search for specific content, then click a course to add it to the list. Multiple courses or programs can be selected.

The "Enrollment Date" box is the date and time that the target will be enrolled. "Due Date" is the last day a target has to complete the selected courses on time. 

Clicking the Enrollment or Due date box will open the calendar and allow you to change the date or time.

To create multiple enrollment or due dates click the "Date +" button. This will create another row that can be configured the same way as the previous row. 

Settings

The Settings tab allows you to configure various settings for the enrollments.

Use Target Manager Name and Email: 

If toggled on, use the manager defined in the target's details. 

Enrollment Manager Name:

Sets the name that will be displayed on manager enrollment notification emails.

Enrollment Manager Email:

The Email address that all enrollment notifications for the created enrollments will be sent to.

Do Not Send New Account Notification:

When enabled, any new student will not receive a "New Account" notification upon their first enrollment.

Do Not Send Enrollment Email Notification:

When enabled, students will not receive a "New Enrollment" notification upon being enrolled. They can still receive course reminders or past-due notifications.

Suppress Enrollment Slack Notification:

When enabled, students will not receive a "New Enrollment" notification through Slack.

Skip Duplicate Enrollments:

If set to all, will skip an enrollment if it's a course/program that the target has been previously enrolled in. Date Range works the same, but within specific range of dates. 

Review

The review tabs provides an overview to all previously selected targets, groups, content, and settings.

If the information in the review tab is correct, click the "Done" button to create your enrollments. They will now be viewable from the Main Menu under School > Manage Enrollments.
